IS UOOU (IS OPDP)

The information system of the Office for Personal Data Protection is a specific software that ensures the registration of processes and activities related to the processing of personal data.

The interface to websites with forms used by companies and citizens to insert relevant notifications and complaints is one of its important parts. The system consists of several modules supporting the activities of individual departments of the Office for Personal Data Protection.

Key functions

Register

The Register module is used to record all submitted notifications about the processing of personal data. Notifications can be submitted using a web form or manually filed directly in the Register module.

The processing activity is supported in the application by the following functions:

– Management of the notifications lifecycle of and their conversion into different states according to their processing status
– Generating letters with notification information and their further processing according to their status.
– Dispatching confirmations of registrations to the e-mail address of the administrator’s contact person.
– Filing documents and annexes into the Ginis DMS system.
– Printing overview reports – the list of letters created, overview of cancelled registrations, copy of registration, statistical report, list of verified persons.
– Interface to Infomodul application, from which the data about the administrators in the control procedure is synchronized.

Before processing the notification, initial checks are carried out, verifying, inter alia, the correctness of the entered data about the entity in the ISBR.

UCC (Unsolicited Commercial Communications)

The UCC module is a specialized module that records complaints of personal data breaches. The module is developed for the needs of the Inspectorate Department.

The following functions are included in the delivered solution:

– Register of complaints together with documented attachments containing the content of the communication.
– Automatic filing of complaints in the Ginis DMS system.
– Administration of registered senders of unsolicited commercial communications, with the option to verify the identity of the entity in the ISBR.
– Full-text search above selected fields for the purpose of content analysis, functions for mass handling of multiple complaints.
– Disclosure of information about the processing status of the complaint on the website – Current status of the complaint.
– Generation of letters to complainants and senders of unsolicited commercial communications.
– Interface of the module to the Infomodul application for making data available to other OPDP employees.

TescoLeg

The TESCOLEG module is used to record all suggestions sent from the government’s electronic library for comments to the Office for Personal Data Protection, ensuring:

– Automatic download of documents and their attachments from eKLEP.
– Filing of documents in the Ginis DMS system.
– Assignment of the processing area to the relevant officers.
– Register of processing statuses and commenting by the Office.
– Interface to intranet (Sharepoint) and publication of documents.
– Full-text search in records.
– Availability of document previews for all users from the Office.

Register of foreign affairs

The Register of Foreign Affairs module provides a record of submitted requests for the transfer of personal data into abroad. To check the records of personal data controllers, the module is linked to the Register module. It contains an overview of the controller’s requests with information on the approval of the transfer and a list of the states to which the data are to be transmitted.
